The reality

Things slip. Every week.

47 emails on Monday morning. The heating emergency competes with the clogged drain for the same attention.

The Friday email nobody saw until Monday.

Heating failure. 60 hours. No triage. The tenant already called the tenant association.

The owner calls. Your team reconstructs.

Your best people lose hours reconstructing. Who approved the plumber? When was self-help sent? The procedure was correct. The proof does not exist.

No record. No defense.

When the tenant association sends a letter, you need timestamps, not memory. Every step needs a trail. None of it writes itself today.

More properties. Same team. More risk.

Every building brings the same requests. Older ones bring more of them. Missed deadlines and wrong cost allocations grow with every property.

See a procedure run

Drain blockage. From email to resolution.

Simplified view. The real procedure has 11 steps and three possible outcomes. You decide at the steps that matter and stay in control. All defined in the rulebook.

Tenant email arrives

"Hallo, der Abfluss in der Küche ist verstopft."

Drain blockage identified.

Self-help sent under your name

Tenant receives troubleshooting instructions from your email address.

48-hour response window starts.

Tenant responds: still blocked

"Leider hat es nicht geholfen."

Escalated to plumber dispatch.

Plumber dispatched

Your team approves the dispatch with one click.

Plumber notified. Tenant updated. 7-day deadline starts.

Plumber reports: building defect

Pipe issue. Not tenant fault.

Owner pays. Resolution notice sent. Done.
What runs automatically

Thirteen procedures. From email to resolution.

Each procedure handles one tenant request type end to end. We match every request against your tenants before a procedure starts. New procedures added continuously, existing ones continuously refined.

What stays yours.

Every request gets fixed deadlines and runs to consistent standards. Routine runs in the background, your team focuses on the edge and difficult cases. Three things stay yours.

Tenants email you, not us

Every message goes out from your address. From the first reply to the final confirmation. We are your invisible partner.

Nothing runs without your say

We classify every email by request type. In observation mode you see what would run. You activate procedures one by one. Vendor dispatch and cost allocation need your approval.

Built for Swiss rental law

Emergency deadlines from OR. Cost allocation per Mietrecht and Hausordnung. Everyone writes in their own language; Ardenum automatically translates into the recipient's preferred language.

Honest answers

The questions you're going to ask.

Microsoft 365, Google Workspace, Gmail, iCloud, Yahoo, and Exchange on-premises via OAuth. Any other mailbox via IMAP. The access level depends on the mode: Free analysis: read-only, one time. Ardenum connects, processes the last 12 months of your tenant email, and then closes the connection. Nothing stays connected afterwards. Live operations: read and send. Once you go operationally live, Ardenum reads incoming tenant requests and, depending on which procedures you activate, sends replies, vendor dispatches, and status updates from your mailbox on your behalf. You decide which procedures run, and you can disconnect the mailbox at any time from your settings.

No integration project required. No API mappings, no ongoing CSV exports, no IT vendor negotiations to get started. Ardenum runs on your email from day one. For each procedure you activate, Ardenum asks only for the data that the procedure needs. No bulk master data import. No copy of your whole portfolio. At onboarding you give us the initial set of tenants, objects, and assignments. Once procedures are running, Ardenum surfaces changes it detects in email (a tenant moving out, a new tenant arriving, a unit changing status) for your team to confirm. Your ERP stays the book of record for your portfolio.

Yes. You are always in control. Every procedure contains explicit prompts that require your decision: cost-relevant steps like vendor dispatch or cost allocation only run after an explicit confirmation. Outside those gates, your team can pause a procedure, override any classification, or finish a case manually at any point. The only thing Ardenum cannot undo is an email that has already been sent to a tenant or vendor. Everything else is reversible. Every intervention is recorded in the audit log (who paused, who overrode, who decided), and the audit log is yours. You can export it any time and use it to prove what happened, when, and on whose authority.

Ardenum never makes decisions on your behalf. When the system is not fully confident about what an email is asking for, it flags the case immediately and hands it to your team. Your team decides, Ardenum executes.

No, and you would not want to. Designing procedures is Ardenum's job. Every correction, every edge case, and every new pattern from every customer feeds into the same curated library. When we refine a procedure or add a new one, every customer benefits on the same day. You get the collective experience of every Ardenum deployment, not a blank canvas you have to maintain yourself.

Yes. Ardenum is built for Swiss data protection requirements. The details of how Ardenum processes, stores, and handles your data are covered in the data processing agreement you receive and review before the pilot begins.

The pilot is free for a limited number of selected partners. No setup fees, no hidden costs during the pilot phase. After the pilot: pricing per property unit per month. We discuss the exact range in the first conversation, adjusted to the size of your portfolio and the scope you need.
